Administrative Assistant for the Canadian COVID-19 Network of Clinical Trials NetworksIn collaboration with the Sunnybrook Research Institute (SRI)Overview of positionWe have aTemporary Full-timeopportunity for anAdministrative Assistantfor a new COVID19 Research Network, in Collaboration with Sunnybrook Research Institute.Hours of Work:Weekdays: Monday to Friday 9am to 5 pm but candidate should have flexibility with hours according to network deadlines.Summary of DutiesThe Administrative Assistant provides comprehensive administrative and secretarial support to the Canadian Critical Care Trials Group ledCOVID-19 Network of Trials Network (including the Executive Director, Executive Committee and Network Chair and Steering Committee)in organizing and coordinating daily activities of the Network administrative office.

The role acts as project support for all Network initiatives, manages schedules and ensures the corresponding work is produced in a timely and efficient manner to support Network activities of the day, assists in developing agendas, reports, policies and procedures, and materials related to meetings (including presentations) and serves as recording secretary on selected committees.

The Administrative Assistant reports directly to the Executor Director of the Network.What is the Canadian Critical Care Trials Group?For more than three decades, the CCCTG with its 300 members across over 60 adult and pediatric ICUs, has led the world in conducting high quality collaborative research into the management of the most severely ill patients, including those with COVID-19.

We have conducted multiple clinical trials that have changed clinical practice, published more than 350 scientific papers which have contributed to saving and improving thousands of lives, and been leaders in promoting global research collaboration.

Our members come from across Canada, and include doctors, nurses, pharmacists, physiotherapists, nutritionists and patient representatives.

We not only have created a uniquely collegial and productive research collaboration within Canada, but also have garnered the respect of colleagues around the world who have embraced a model of clinician-investigator-led research collaboration.What is the Network of COVID-19 Trials Networks?The Network is a nascent pan-Canadian partnership of over 400 inter-professional members patient partners, clinical and translational scientists, health care professionals, research coordinators and trainees at all major healthcare centres across Canada.

Building on 30 years of collaborations, the CCCTG has established a large nascent Network of COVID-19 Trial networks among ambulatory, acute and critical care, rehabilitation, and long-term follow-up networks and trials.

We have championed scalable, context-responsive research approaches, including the parallel evaluation of multiple therapies using adaptive platform clinical trials into which we have now incorporated COVID-19 pandemic-relevant treatment arms and enrolled COVID-19 infected patients in Canada and, with international partner trials groups, around the world.Summary of Main DutiesResponsible for providing a wide range of administrative and project supports to the COVID Network and CCCTG Executive Directors and key CCCTG stakeholders.Facilitate communications between internal teams and external stakeholders.Support team scheduling and calendar management including directing and coordinating daily priorities, appointments, tasks, meetings, deadlines.Schedule, develop agendas, coordinate and organize meetingsReview all incoming material, determining priority and following up as needed to resolve problems and ensure integration of activityCoordinate the conferences and travel arrangements.Establish and maintain a central filing system for external, internal and archival information, also to update files, database, records and other documents.Creating, gathering, and proofreading documents.Qualifications/SkillsCompletion of a relevant post-secondary Administrative Assistant/Office Administration Program required.Three years related and recent experience required, preferably in a health care environment, and experience taking minutes of meetings.Demonstrated ability to exercise sound judgment, work independently when required and prioritize time sensitive requests.Tact and discretion in dealing with sensitive and confidential issues/files.Excellent communication skills, both verbal and written.Excellent inter-personal skills and ability to work well with a diverse group of individualsAdvanced proficiency in Microsoft Word, Excel, PowerPoint and Outlook required, ideally comfortable with PC and Macintosh environments.

Knowledge of database software would be an asset.

Must type 60-80 words per minute with 5% error rate as evidenced by a clerical test conducted prior to hire.Desire and ability to take on new and added responsibilities.Capable of maintaining composure and competence when working to deadlinesSuperior time management, organizational skills, accuracy and attention to detail required.Fluency in both written and spoken English and French is an assetSalary and Benefits:This is a temporary full-time, grant funded, inaugural 18-24 month-year term (with the possibility of an extension) position.
