Office and Secretarial Clerk

This is a Full-time position in Montréal, QC posted July 28, 2018.

We are currently seeking a people-person, client-focused receptionist to join our team. The work schedule is Monday to Friday from 8:30 am to 4:30 pm. We offer a stimulating work environment and a competitive benefits package (group insurance, RRSP contribution program, IATA ID card, etc.). Our bright, light-filled offices are located in the former cookie factory near Atwater Market and the Lionel-Groulx metro station.

Annual salary: $30,000 to $33,000, based on experience and qualifications


Reception (75%)

–          Answer calls and warmly greet visitors to our office.

–          Open files and maintain filing system.

–          Manage mailings and order office supplies.

–          Purchase individual flights, make hotel reservations and book car rentals for our employees.

–          Send floral arrangements, make restaurant reservations for special occasions, manage kitchen duty schedule, etc.

–          Follow up and send trip evaluations to the individuals involved.

Marketing (15%)

–          Coordinate conference calendar and all support requirements: bookings, materials, etc.

–          Handle daily social media publishing to Francophone channels.

–          Manage shipping and marketing inventory.

–          Support the Marketing specialist, as required.

Operations (15%)

–          Purchase insurance products tailored to client needs.

–          Conduct research on new destinations or suppliers, as needed.

–          Prepare guide packs and finalize files.

–          Support the operations coordinators as needed during various seasons.

Any other relevant tasks.

–          Experience in customer service

–          Outstanding oral and written communication skills in French and English

–          Organized, independent and results-oriented

–          Ability to prioritize, multitask, adapt and demonstrate creativity and good judgement when solving problems

–          Excellent knowledge of Microsoft Office and very comfortable working with technology

–          Experience with CMS management platforms like WordPress or Hubspot, is an asset
