Human Resources Assistant

This is a Full-time position in Montréal, QC posted January 9, 2018.

Our client, an organization with an international reach, is seeking a Human Resources Assistant (7499).


  • Provide administrative support and manage agenda when required;
  • Ensure superior is kept informed and updated, in a timely manner, on all pending items;
  • Provide support and guidance to Receptionist and other team members;
  • Assist with matters relating to facilities and liaise with building administration where appropriate;
  • Conduct daily inspection of main office spaces and storage spaces;
  • Oversee and submit requests;
  • Escalate maintenance issues, where appropriate;
  • Review emails and follow up and/or address relevant queries and/or forward other queries to other team members;
  • Prepare Purchase Orders, Payment Authorization Forms coordinate signatures;
  • Track relevant budgetary items and liaise with Finance department on appropriate finance queries;
  • Prepare corporate credit card reconciliation/expense reports;
  • Keep administrative documents up to date ;
  • Track multiple corporate insurance policies and assist with renewals;
  • Prepare and submit renewals and claims and follow up, when required;
  • Assist with social/charitable and/or team building activities;
  • Ensure First Aid kits and other safety equipment inventory is adequate and well-maintained;
  • Coordinate verification and maintenance of oxygen and defibrillator;
  • Assist with onboarding of new employees (schedule interviews; liaise with candidate; give introduction to company, etc.);
  • Assist in review and update of procedure and policy manuals;
  • Assist in the coordination of meetings, including coordination of catering, venue and other providers;
  • Backup for receptionist and related duties (daily and as required);
  • Prepare, file and archive correspondence and other records;
  • Perform other related tasks or projects as requested.

  • Fully bilingual, French and English;
  • Additional language skills desirable (e.g. Spanish);
  • Excellent verbal and written communication skills;
