This position provides support to a Vice-President and a Senior Manager.

Your main challenges:

  • Interpret requests sent to your superior by identifying requestors’ needs
  • Organize your superior’s agenda, make their appointments, coordinate the logistics of meetings and business trips and suggest improvements
  • Interact mainly with executives working with your superior by providing information about files, mandates and your superior’s schedule
  • Provide the Vice-President with advanced secretarial support for various professional or operational activities
  • Organize the agenda and logistics of meetings with the various stakeholders while suggesting continuous improvements
  • Develop a solid understanding of the sector’s issues
  • Provide quality and courteous service in order to ensure the satisfaction of internal and external stakeholders.
  • Coordinate the agenda and documentation for the sector’s various executive committees and employee meetings
  • Manage follow-ups and correspondence by efficiently using collaborative tools

More specifically, you will:

  • Draft, revise or improve letters and complex documents, and prepare or improve the layout of presentations
  • Revise texts for grammar, syntax and spelling, and suggest improvements
  • Collect, compile and assess the relevance of information required for drafting administrative reports
  • Help establish the budget, ensure its administrative follow-up and prepare vouchers justifying budget discrepancies for your superior
  • Build strong relationships with both internal and external stakeholders
  • Process and verify expense reportsfor your managers with our internal software


  • A three-year college diploma or academic equivalent in a related field and three years of relevant experience
  • Bilingualism, spoken and written (English and French)
  • Fully proficient in Microsoft Office: Word, Excel, Outlook, Teams, SharePoint and Yammer
  • Advanced knowledge of social media platforms (LinkedIn)
  • Solid problem-solving skills
  • Able to work on a team and independently
  • Able to work under pressure and meet tight deadlines
  • Excellent communication and organizational skills
