Clinical Trial Administrative Assistant

We are hiring a Clinical Trial Administrative Assistant!

The Clinical Trial Administrative Assistant works in strong collaboration with the Director, Clinical Trial Operations to offer administrative support to the Clinical Trial Operations department. The Clinical Trial Administrative Assistant might also offer administrative support to other senior members of the CRO Operations group as well as other senior members of the organization. The Clinical Trial Administrative Assistant might be requested to offer administrative support to project team members at many stages during the conduct of clinical studies.

Responsibilities

  • Prepares and maintains electronic trackers with information necessary to support activities of the Clinical Trial Operations group;
  • Ensures CVs and job descriptions are prepared, signed, and maintained for all Clinical Trial Operations team;
  • Ensures adequate and complete documentation for members of the Clinical Trial Operations (e.g., training records, signed agreements, CVs, etc.);
  • Supports Director, Clinical Trial Operations with recruitment activities (i.e., collects/files CVs, schedules interviews, updates CRA recruitment trackers) and onboarding activities for new Clinical Trial Operations team members;
  • Distributes documents for training and coordinates collection and filing of training documentation;
  • Serves as in-house contact for administrative support for CRAs when traveling;
  • Supports Director, Clinical Trial Operations with expense report and invoice tracking and review;
  • Maintains and tracks key performance indicators (KPIs) related to Clinical Trial Operations activities;
  • Reviews and translates documents and presentations for editing and formatting;
  • Offers administrative support to any senior member of the CRO Operations group or senior member of the organization;
  • Serves as the primary administrative support point of contact for the CRO Operations group for office supplies and common area (kitchen);
  • Participates in various administrative tasks (prepares copies, files documents, sets-up conference rooms, and orders meals for Sponsor meetings, etc.) as required to accomplish the goals of the project and the needs of the various project teams.

Profile

  • College degree;
  • Experience working in the biotechnology, pharmaceutical, and/or CRO industry environment an asset;
  • Bilingual French and English (oral and written), with excellent writing skills;
  • Excellent knowledge and competency in Word, Excel and Power Point;
  • Ability to prioritize different assignments and work under pressure;
  • Attention to detail and able to meet timelines;
  • Quick learner, good adaptability and versatile;
  • Strong organizational, communication, problem-solving and multi-tasking skills.
