Position Summary:

Working under the direction of the Senior Advisor, Strategy and Governance, the Office Administrator will provide planning, organizational, communications and administrative duties with respect to strategic matters in the Office of the Vice-Principal, Administration and Finance. He/she will administer logistical matters with respect to the Senior Advisor’s strategic portfolio, including liaising with university colleagues, senior government officials and governing bodies, and often involving duties of a highly confidential and critical nature.

Primary Responsibilities:

Understand the multiple issues and files the Senior Advisor is involved with (e.g. Federal and Provincial governments dossiers), and make time sensitive and proactive judgments about how these may be advanced within a demanding schedule.Plan Senior Advisor’s schedule with a view to prioritizing events and meetings; juggle and defer meetings as required when urgent matters arise; refer some requests and inquiries to other offices for prompt attention and response and ensure follow up on these.Compose, review and edit non-routine correspondence, briefing notes and other documents in both official languages, paying particular attention to detail and accuracy in content.Compile documents and information required for meetings & verify facts to ensure accuracy of information, which includes a considerable degree of document management.Interpret and apply University regulations, policies and guidelines.Anticipate and deliver support (schedule, logistical arrangements, travel) to allow the Senior Advisor to operate optimally.Follow up on numerous action items related to events and meetings. Ensure that documents and correspondence are prepared in a timely fashion. Responsible for administrative and organizational matters with respect to Senior Advisor’s meeting with key stakeholders.Represent and/or accompany the Senior Advisor to various meetings when necessary.Provide the Senior Advisor with timely reminders regarding meetings, events & tasks. Prepare facts & updates for the Senior Advisor.Foster good working relationships with colleagues & units. Liaise with internal & external stakeholders.Perform other related duties & participate in special projects, as required.

Minimum Education & Experience:

DEC III

Three (3) years’ related experience

Other Qualifying Skills And/Or Abilities:

Excellent planning, organizational and priority setting skills. Excellent interpersonal and communication skills. Strong written and oral communication skills (English and French). Problem solving ability, ability to manage multiple projects. Ability to establish client relationships. Attention to detail.
