Position Summary:

Reporting directly to the Associate Director (International), the Administrator is a member of the team supporting the work of the Associate Provost (International) (API), who provides leadership on key international initiatives and serves as a central contact point for informationon the University’s global activities.Within this context, the Administrator (International) is responsible for providing a high level of organizational and administrative support to the API and other members of the International team as they implement the Provost’s internationalization strategy for McGill.Specifically, the incumbent provides support for incoming and outgoing visits, meetings and events overseen by the international team, maintains records and collects data related to the University’s internationalization efforts, and acts as a resource person for services and procedures provided by the team to the McGill community.

Primary Responsibilities:

  • Manages physical and digital records related to McGill’s international activities, such as visit logs, country handouts, and Memoranda of Understanding. Maintains computerized information systems.
  • Develops communication and data tracking procedures in support of the internationalization efforts. To this end, works with University databases, including InfoEd.
  • Manages the flow of information related to international activities within the Office of the Provost and Vice-Principal (Academic) and between the OPVPA and other relevant units, in particular the Office of the Principal and Vice-Chancellor, the Office of the Vice-Principal (Research and Innovation), and the Office of the Deputy Provost (Student Life and Learning).
  • Provides logistical support for activities related to the International portfolio, including detailed planning of events, including room bookings, invitations, menus, catering, permits, security needs, etc. Coordinates committees headed by the API.
  • Provides financial and accounting services to support the International team. Approves and verifies financial transactions, such as advances, requisitions, expense reports, supplier invoices, etc. Liaises with the James Shared Services team as appropriate. Ensures accurate and complete financial record keeping and compliance with University procedures and regulations.
  • Arranges and manages all travel and accommodation to national and international destinations in connection with University business, conferences, relationship building, government and international activities for the Associate Provost (International) and the International team.
  • Maintains and manages the calendar of the Associate Provost (International) to optimize the use of his time. Plans meetings and workflow, in consultation with the Associate Director (International) and other members of the International team, to identify priority events, meetings and deadlines. Refers some requests and inquiries to other offices for prompt attention and response and follows up as required.
  • Liaises with many offices across the University and with the external community.
