Administrative Assistant – Wealth Solutions


This is a Contract position in Montreal, QC posted May 10, 2022.

Aon is seeking an Administrative Assistant

As part of a market-leading team, you will contribute to the creation of tangible results for our clients through the application of innovative and effective solutions within our Wealth Solutions Consulting group at Aon in Montreal, Quebec. As an Administrative Assistant, you will work directly under the direction of the Manager of Administrative Operations and provide support to a team of senior consultants.

  • Supports an executive level manager, which is a manager who is a member of the executive team.
  • Administrative activities include email management, time registration, full calendar management, research or other special projects.
  • Schedules and coordinates meetings, including room reservations and ordering/delivering food, if necessary.
  • Coordinates logistics for complex on-site or off-site meetings; this may include, but is not limited to, budgeting, travel, room reservations, meeting room logistics and equipment, and catering.
  • Interacts daily with internal and external senior managers and their administrative assistants.
  • Coordinates projects and works independently; seeks answers to questions, demonstrates initiative, uses network of resources to resolve issues.
  • Assists others in understanding or obtaining technology or facility support.
  • Provides back-up assistance to other administrative assistants as needed.
  • Able to compose documents from raw notes or independent knowledge of circumstances.
  • Maintains/updates/organizes categories and data in databases, OneNote or SharePoint.
  • Prepares and produces presentations, correspondence, and related documents, including checking for grammar, punctuation, and clarity.
  • Maintains a flexible approach and demeanour toward assisting others; models, coaches and mentors administrative assistants who aspire to advance to the Senior Administrative Assistant level.
  • Acquires and maintains knowledge of internal network and resources.
  • Possesses a thorough knowledge of the Aon brand identity.
  • Seeks additional responsibilities.
  • Acts as a key resource to the team (i.e. independently seeks answers to questions, demonstrates initiative, uses network of resources to resolve issues, and proactively passes on knowledge to peer network).
  • Strategic, solves problems and establishes procedures that result in process improvements.
  • Records hours accurately and submits them in accordance with company guidelines.
  • Self-prioritizes work and projects; achieves measurable progress by communicating openly with managers and team members in a consistent manner and with the highest quality.
  • Acts as a subject matter expert for internal tools and resources.
  • Other duties may be added based on business needs.

Experience and Requirements :

  • Minimum of three (3) years experience in a similar role;
  • Bilingual (English and French), both written and spoken;
  • Proficiency in MS Office software (Word, Excel and PowerPoint);
  • Punctuality and reliability;
  • Organizational skills, initiative, resourcefulness and attention to detail;
  • Flexibility and team spirit;
  • Demonstrated organizational skills;
  • Ability to work independently with a variety of people.
