Administrative Assistant

This is a Full-time position in Montréal, QC posted June 6, 2018.

Position Context:

Reporting to the director of the office of the Vice-Principal, Communications and External Relations, the Administrative Assistant is responsible for providing a high level of organizational, planning, communications and administrative support to key operations including external relations and strategic communications. Ensures that the best possible resources are in place to optimize the unit’s regular and special activities.

Primary Responsibilities:

  • Plan, support and follow up on meetings and retreats, particularly of the unit’s steering group;
  • Develop and implement administrative procedures, policies and processes in support of the unit’s objectives;
  • Assess and resolve administrative problems and make recommendations when appropriate;
  • Foster relationships and coordinate management of issues with other University units and external organizations;
  • Conduct research, summarize findings and  transmit to appropriate parties;
  • Ensure the communication of information to appropriate parties on issues and activities;
  • Organize and carry out work related to projects and events, from initiation to implementation phases, and ensure appropriate follow up;
  • Write correspondence and reports;
  • Edit documents and presentations;
  • Create, organize and maintain physical and electronic files;
  • Prepare and process documentation and forms to support human resources activities of the unit;
  • Act as back-up to the Assistant to the Vice-Principal;
  • Perform other administrative functions, as required.



Three (3) years’ related experience

Other Qualifying Skills and/or Abilities:

Experience working in a university and/or senior office of a large organization an asset. Excellent planning, organizational and priority setting skills. Demonstrated capacity to take initiative. Problem solving ability and ability to manage multiple projects, respecting deadlines. Proven ability to work under pressure and deliver a high volume of superior work. Excellent interpersonal and communication skills. Ability to work both autonomously and as part of a team. Attention to detail. Demonstrated ability to work in a computerized environment using word processing, databases, spreadsheets and presentation software.  Strong written and spoken communication skills in English and in French.
