Administrative Assistant

National Bank

This is a Contract position in Montreal, QC posted November 4, 2021.

Employee Status: Regular
Schedule: Full-time

You will report to the Senior Manager of Taxation Activities, Operations Investments.

Your role :

  • Support the department by independently performing various administrative tasks
  • Keep your manager’s agenda up to date, make their appointments, coordinate the logistics of meetings and trips, and suggest improvements
  • Manage calls by answering questions and ensuring that calls are returned
  • Serve as a resource person for all employees in your sector with regard to requests for information about the Bank’s administrative policies and procedures
  • Prepare, revise and improve various letters and documents
  • Prepare presentations or improve their formatting
  • Autonomously monitor the budget and prepare vouchers of budget discrepancies for your manager
  • Master all the software required for your duties
  • Act as a resource person for all employees in your sector who request information about the Bank’s administrative policies and procedures
  • Support sector managers by completing certain administrative tasks
  • Help with certain operational activities during the team’s peak period

Competencies required :

  • High school diploma and 3½ years of relevant experience or a college diploma and 1½ years of relevant experience
  • Experience in secretarial duties
  • Experience in proactive calendar management
  • Experience working with various collaborative tools such Yammer, SharePoint, Skype, etc., an asset
  • Excellent knowledge of the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Sense of initiative, proactivity, and a good collaborative approach
  • Open-minded and adaptable
  • Strong ability to determine priorities and emergencies
  • Autonomy and good organizational skills
  • Diligence and professionalism
  • Interpersonal skills (good people skills and client-centric)
  • Bilingualism, spoken and written (English and French)
